Dartix ("we", "our", "us") is an AI-powered executive assistant platform for financial advisors in the United States and Canada. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application.
2. Information We Collect
Account Information: Name, email address, firm name, and professional credentials provided during registration and onboarding.
Client Data: Client names, contact details, financial notes, and meeting records you enter into the platform.
Usage Data: Interaction logs, feature usage, session duration, and analytics to improve our service.
AI Training Data: Documents, uploaded reference materials, and communication preferences you provide to personalize your AI assistant.
Voice & Likeness Data: Voice recordings and photos or video you provide, with your explicit consent, to create your personal AI voice clone and video avatar for client-facing communications.
Call & Communication Records: Call recordings, call transcripts, emails, chat messages, and campaign content processed through the platform.
Advertising Account Data: Campaign and lead data synchronized from advertising accounts you choose to connect.
Marketing Site Analytics & Advertising: On our public marketing pages (dartix.ai's home, About, How It Works, Verticals, Demo and related pages — not the authenticated platform), we use the Meta (Facebook) Pixel to measure advertising performance. It places cookies or similar browser identifiers and receives the page you visited, general browser/device information, and, if you submit a public demo-request or scheduling action, the fact that you did — never your name, email address, phone number, or any account or client data. Separately, Google Analytics runs only on our public website pages, measuring page views, basic engagement (such as time on page and scrolling) and three conversions (lead form submitted, demo booked, free-trial signup); it does not run inside the Dartix app, and Google Analytics 4 does not log IP addresses. You can decline analytics and advertising cookies in the cookie notice, and change your choice at any time: use the button here or in the footer of our home, About, How It Works and Verticals pages. Declining turns off Google Analytics and the Meta Pixel in that browser. If your browser blocks site storage, a Decline cannot be saved: it ends when you reload, open a new tab, or follow a link that loads a new page.
3. How We Use Your Information
Provide and maintain the Dartix platform and its features.
Create and personalize your AI voice and video assistant based on your preferences and the training data, voice, and likeness you provide.
Process and send communications on your behalf (with your explicit approval).
Generate proposals, compliance reports, and analytics.
Improve our services through aggregated, anonymized usage analysis.
4. Service Providers
We rely on a small number of vetted service providers to operate Dartix. We do not sell your data, and we do not name individual providers here because our vendor stack changes over time — the categories of processing below stay accurate regardless of which provider we use:
Infrastructure: Authentication, database hosting, file storage, and backend application hosting.
AI Processing: Large language model and generative AI processing that powers proposal generation, chat, voice, and video avatar features.
Communications Delivery: Sending of email, SMS, and voice calls you have approved.
Advertising Platform Integration: Synchronization of campaign and lead data when you connect an advertising account.
Marketing & Advertising Analytics: The Meta (Facebook) Pixel, active on our public marketing pages only, to measure advertising performance; and Google Analytics, on our public website pages only, to measure page usage.
Every provider we use is bound by a data processing agreement requiring them to protect your data and use it only to perform the service we've engaged them for. A current list of processing categories and the safeguards that apply to each is available on request at privacy@dartix.ai.
5. Google User Data (Gmail & Google Calendar)
If you choose to connect your Google account, Dartix accesses the following Google user data, only after you grant permission on Google's consent screen:
Gmail messages (read & organize): Your AI assistant reads incoming email in your connected mailbox to triage client messages, surface action items, and applies a small set of Dartix labels so you can see what it has handled.
Gmail sending: Replies and meeting confirmations drafted by the assistant are sent from your own email address only after you review and approve them in the Dartix UI.
Google Calendar events: We read your availability to offer meeting slots to your clients and create, update, or cancel booking events (including Google Meet links) when a client books or reschedules through Dartix.
Basic profile (email address, name, and profile picture): Used to identify which Google account is connected.
Google user data is used solely to provide these features to you. We do not use it for advertising, do not sell it, and do not transfer it to third parties except as necessary to provide these features, to comply with applicable law, or as part of a merger or acquisition with prior notice to you. Humans do not read this data unless you give explicit permission, it is necessary for security purposes, or we are required to by law. We do not use Gmail or Google Calendar data to develop, train, or improve generalized AI or machine-learning models.
Dartix's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect your Google account at any time in Settings → Integrations, which deletes our stored access tokens, or revoke Dartix's access from your Google Account permissions page. Synced Google data is removed under the retention timelines in Section 10.
6. Data Security
We implement industry-standard security measures including encrypted data transmission (TLS), encrypted data at rest, JWT-based authentication, and row-level security policies. All client data is tenant-isolated.
7. Data Storage & Transfers
Your data is stored and processed in secure cloud infrastructure within North America. All data transfers use encrypted connections (TLS 1.2+). Data retention timelines are detailed in Section 10.
8. Your Data Rights
Under PIPEDA and applicable provincial privacy law (Canada), and CCPA/CPRA and other applicable state privacy laws (United States), you have the following rights:
Right to Access: Obtain a copy of all personal data we hold about you.
Right to Correct: Request correction of inaccurate or incomplete data.
Right to Delete: Request deletion of your account and all associated data.
Right to Data Portability: Export your data in machine-readable (JSON) or human-readable (PDF) format at any time.
Right to Withdraw Consent: Opt out of optional data processing at any time, including revoking consent for your AI voice clone or video avatar.
Right to Object: Object to automated decision-making or profiling.
Right to Non-Discrimination: We will not deny service or charge different prices for exercising these rights.
9. Data Subject Access Requests (DSAR)
You can export all your data at any time directly from the platform:
Navigate to Settings → Privacy and click "Export My Data".
Your export includes: profile, clients, leads, proposals, campaigns, communications, AI training data, agent activity, and your full audit trail.
Exports are available as JSON (machine-readable) or PDF (human-readable).
Requests are processed immediately — no waiting period.
For account deletion requests: use Settings → Privacy & Data → Delete my account, or email privacy@dartix.ai. Deletion completes 30 days after the request unless you cancel it.
Within the authenticated platform, we use browser local storage for authentication tokens and user preferences; Google Analytics and the Meta Pixel do not run there. Our public website pages use Google Analytics and, on marketing pages, the Meta Pixel, described in Section 2, to measure page usage and advertising performance.
10. Data Retention
Transient data (sessions, PII cache): retained for 90 days, then purged.
Regulatory audit logs (system events, security logs): retained for 1 year minimum.
Synced Google data (email content and metadata, calendar events): deleted within 30 days of disconnecting your Google account.
Account data: retained until you request deletion (Settings → Privacy & Data, or privacy@dartix.ai). A request starts a 30-day grace period during which you can cancel; after it, personal data and client records are permanently deleted and records we are legally required to keep are anonymized.
Archived client records: permanently deleted 30 days after you archive them.
Closed leads: deleted 6 months after a lead is marked won or lost.
Call transcripts, SMS and chat history: retained for 12 months.
Aggregated analytics: may be retained indefinitely in anonymized form.
We may update this Privacy Policy from time to time and will update the "Last updated" date above when we do.
